Conference bags and gift sets are ordered late and needed fast. Working backwards from the event date is the only way to make it work.
Corporate gifting has the tightest timelines in bulk buying, because the date is fixed by someone else and never moves.
Work backwards. Delivery must land a week before the event, which means dispatch two weeks before that for pan-India freight. Production on a branded run takes ten to fifteen working days after artwork approval. Artwork approval itself, including one revision, takes a week in practice however fast everyone promises to be.
That is roughly six weeks from purchase order to a bag in someone's hand — and it assumes the specification does not change midway.
The orders that go wrong are almost always the ones where the logo file arrived late. Vector artwork, correct colours, and a signed-off placement diagram before the order is raised will save more time than any amount of expediting later.
For recurring annual events, place the order the same month every year and keep the previous specification on file. The second year takes a fraction of the effort of the first.
